Who this is for

Catch-Up Bookkeeping for Medical and Dental Practices

Practice books fall behind for a particular reason: insurance pays in remittances that never match a single deposit, patients pay in part, and the practice management system knows the truth while the bank knows only the total. The catch-up reconciles the two.

Remittances, deposits and the practice management system

An insurer’s remittance covers many claims, arrives net of adjustments and sometimes as a single electronic deposit for several payers. The practice management system records collections by patient and payer; the bank records lump sums. The cleanup uses the PM system’s collections reports as the source of revenue and reconciles the bank to them, so revenue is what was collected, by payer type, rather than whatever the deposits added up to.

Patient responsibility and refunds

Co-pays, deductibles and self-pay are collected at the desk through a card terminal or the PM system, and patient refunds go out when insurance pays more than expected. The cleanup separates patient collections from insurance, records refunds as reductions rather than expenses, and reconciles the merchant account to the bank net of fees.

Payroll with six pay types

Hourly staff, salaried associates, production-based pay for providers, bonuses, and sometimes contractors who are really employees. A practice payroll catch-up reconciles every pay run to the filings, identifies missed filings, and sorts contractor from employee for the 1099 list. It runs in any state.

Equipment, loans and the fixed-asset list

Chairs, imaging, sterilisation and IT are financed, and the loan payments are frequently expensed whole. The cleanup separates principal from interest, puts equipment on the fixed-asset list for your tax preparer’s depreciation schedule, and reconciles each loan to the lender’s statement.

Send which practice management system you use, how many providers and staff, and how many months are behind. The reply within a business day says what the deposit would be.
