Multiple Years of Bookkeeping, Rebuilt

Multi-year catch-ups are normal work and they follow a pattern: gather what exists, rebuild oldest year first, close each year with a package the preparer can file from, and keep going until the current month. The hard part is usually starting, not finishing.

Why it is less bad than it looks

Three years of nothing is not three times harder than one. The chart of accounts is built once. The bank rules are written once. Suppliers, customers and patterns repeat, so the second year is faster than the first and the third is faster again. What takes time is gaps in the records, and most gaps can be filled from the bank, the card processor, the payroll provider and the IRS.

Gathering what exists

Your bookkeeper produces the list of exactly what is missing after a first look, so you are asking the bank for specific months rather than everything.

Year by year, oldest first

Each year is reconciled and closed before the next begins, and its package goes to your tax preparer as it closes. That matters for unfiled returns, which are filed in order, and it means the preparer can start on 2024 while 2025 is still being rebuilt. If one year has a return due now, that year jumps the queue and the others follow.

Unfiled returns

Bookkeeping and filing are separate jobs. Your bookkeeper produces the numbers; your tax preparer files the returns and advises on penalties and relief, which depend on the entity type, the years and your history. If you do not have a preparer, say so; the package is the same either way, and the unfiled-years guide covers what to expect.

What it costs

Quoted after a look, as a project: a deposit up front, a monthly retainer while the years are rebuilt, then ordinary monthly bookkeeping from $250 once current. The quote includes a timeline by year. The cost guide gives examples.

Send how many years, how many accounts, and which returns are outstanding. The reply within a business day says what the deposit would be and roughly how long each year takes.

Common questions

Is there a limit to how far back?

Only the records. Where a year has no statements at all, that is said plainly and the options are for your tax preparer.

Do all the years have to be done before any return is filed?

No. Each year closes with its own package and goes to the preparer as it is finished.

Can the current year be kept up while the old years are rebuilt?

Yes. Monthly bookkeeping for the current year can run alongside the catch-up so the backlog stops growing.

What if I changed banks or software partway through?

Common. Each account is reconciled for the months it existed, and a migration point is handled the same way as a year-end.
