The Seven Mistakes Behind Most QuickBooks Cleanups
Updated 2026-10

How to use this page
Each mistake has a symptom you can see in your own reports without accounting knowledge. Recognise two or more and the file needs a cleanup rather than a tidy-up, whether or not it balances. None of these is unusual; most files that arrive for cleanup have at least four.
1. Undeposited Funds never cleared
Symptom: the bank will not reconcile; the Undeposited Funds account has a large balance; income looks doubled or invoices show paid that the bank never received. QuickBooks parks customer payments in Undeposited Funds until a deposit is recorded. If the bank feed also imports the deposit, income is counted twice. This one breaks every other report and is fixed first.
2. A doubled bank feed
Symptom: expenses and income both look roughly twice what they should; the same vendor appears on the same day twice. A bank feed connected a second time, or an integration pushing transactions the feed also imports. Duplicates are removed and the second source disconnected.
3. Deposits booked as income
Symptom: wildly profitable months followed by losses; December is a triumph or a disaster depending on when the last deposit landed. A customer deposit or retainer is a liability until earned. Moved to the balance sheet and released as the work is done.
4. Loan payments expensed whole
Symptom: the truck or equipment loan balance has not moved in a year while you pay every month; "loan payment" appears as an expense. Each payment is principal, which reduces the liability, and interest, which is the expense. Split, and the balance sheet corrected by the cumulative principal.
5. Owner draws and personal spending as expenses
Symptom: profit is low or negative while the owner clearly lives on the business; lines like "owner", "misc" or the owner’s name in expenses; groceries in supplies. Draws are equity, not cost. Moved out of expenses, which usually raises profit and changes the tax picture.
6. Sales tax inside sales
Symptom: income is higher than the sales reports say; a large "taxes" expense appears when the state is paid. Tax collected is a liability from the moment it is collected. Separated from sales, with the remittance reducing the liability rather than hitting expense.
7. Opening Balance Equity with a number nobody can explain
Symptom: an equity account with an odd balance that nobody remembers creating. QuickBooks uses it when accounts are opened with a balance or a reconciliation is forced. It should be zero. The cleanup traces where the balance came from and moves it to where it belongs, which is usually retained earnings or a loan.
Which ones matter most
One breaks everything and goes first. Two and three change the profit figure by the most. Four and five are the ones a preparer catches in January with an adjustment that fixes the return but not the reports you ran the business on. Six is the one that produces a letter from the state. Seven is the sign that earlier fixes were forced rather than found. A cleanup addresses all of them, in roughly that order.

Common questions
My file balances. Can it still have these?
Yes. Every one of them can exist in a file that balances. Balancing means the arithmetic is consistent, not that transactions are in the right place.
Can I fix these myself?
Some, if the history is short. The checklist guide gives the order. Past a few months the recoding is faster for someone who does it all week.
